Details: NEW JERSEY Department of Children and Families (DCF)SCHEDULERDCF seeks professional with exceptional organizational skills to serve as “scheduler" for the Commissioner in Trenton, NJ. Individuals must have served previously as an executive secretary, possess excellent interpersonal skills, have the ability to multi-task and manage competing priorities. The Commissioner’s Office is a fast-paced environment that requires good communication, interpersonal, and customer service skills.JOB DESCRIPTION: Manage the Commissioner’s schedule and workload and ensure he/she is adequately prepared for meetings. Schedule meetings, conference calls, and public speaking engagements. Request all briefing packets and requests for remarks. Arrange appropriate staff to accompany the Commissioner and participate in meetings/events as necessary. Handle calendar, schedule appointments, take calls, and write down messages, screen incoming postal/email and other duties that require care and accuracy. Prepare meeting agenda and provide background information to the Commissioner. Ensure that the Commissioner is briefed on daily schedule to ensure he/she arrives on time to meetings/events and is always aware of where he/she needs to be accordingly.REQUIREMENTS: Three (3) to five (5) years of experience supporting senior/executive managers, strong computer skills, ability to type 60 words per minute, manage upwards, handle confidential information and multi-task. Personal attributes such as discretion, a high level of professionalism, strong attention to detail, organization and written and verbal communication skills are required.The “scheduler" must be a team player and possess sound judgment and excellent analytical abilities. He/she must have proven capabilities in handling multiple priorities. This position also requires a strong ability to exercise and demonstrate discretion and confidentiality. A successful candidate must be highly organized and detail-oriented. He/she must be able to distinguish and handle high-priority items and set aside unimportant ones.
